Schedule requests and configure reminders

Configure request timing and follow up with the signer whose action remains pending.

Use request timing to decide when work begins and reminders to follow up on a signing task that remains unfinished. Configure them for the actual stage and recipient rather than sending the same message to everyone.

Start with a working request

Check the signer roles, email addresses and signing order before adding timing. A reminder cannot fix an incorrect recipient or a missing required signature field. First run a short sample through the workflow quickstart.

Scheduling a request, recurring form collection, and reminding an active signer are separate behaviors. Use the scheduling controls offered in your form's request setup for its intended date and recurrence; review any prefilled details and recipient list before saving.

Configure a signer reminder

  1. Open Setup workflow and find the signer under To be signed by.
  2. Open More options for that signer.
  3. Enable Reminder.
  4. Set Remind if not signed after using the hour controls.
  5. Review the saved value and the full signer sequence before continuing.
Set a reminder against the unfinished task and review its timing.

For the first approver, the reminder helper measures hours after the workflow starts. For later approvers, it measures hours after the previous approver signs. Keep that difference in mind when choosing a delay for a multi-day process.

Review pending-only behavior

Use a synthetic request to inspect which stage is active and whether its reminder configuration applies. Check the actual reminder delivery when testing; a saved toggle alone only confirms configuration.

An optional signer skipped because their recipient email is empty should not receive reminders. When an optional role has an email address, it behaves as a required signer. Review optional steps before using blank recipient fields as part of a process.

Keep escalation distinct

Health and safety workflows may involve additional scheduling, notifications or supervisor escalation. Confirm those controls in the relevant setup rather than treating a signer reminder as a universal push-notification or escalation feature.

If a reminder did not arrive, inspect the response's active stage, recipient, timing and completion state. Do not create repeated duplicate requests just to restart follow-up. Use progress tracking and workflow troubleshooting to locate the unfinished action first.
