Collaborate with your team

Give staff the access and actions they need while keeping signer tasks and internal work distinct.

Decide what each person needs to do before sharing access. Maintaining a form, reviewing responses and signing an assigned request are different tasks. A colleague who only needs to approve a request does not necessarily need the same access as its creator.

Choose the right role

PersonTypical task
Form creator or ownerMaintain questions, document wording and settings.
CollaboratorReview or manage responses through the access configured for the form.
Workflow approverComplete their assigned internal step or action.
SignerReview and sign their own part of a request.

Use the collaboration controls offered for the form, including the collaborators entry where it is available in Share. Review what the invitation grants rather than assuming every shared link is an editing invitation.

Keep internal work in its own step

Use staff-only fields and approval actions for internal notes or decisions. Configure the fields and recipient assigned to that stage. Do not rely only on a label such as “Office use only” if respondents can still enter or change the answers.

When a staff member is the next signer, send the assigned workflow request. A public form link can start another response instead of opening the existing item.

Check access to the result

An email notification, response link and file in Google Drive can each have different access requirements. Verify that the intended colleague can open the necessary response or record without being granted unrelated access. Review Google folder sharing separately from Formesign collaboration settings.

For healthcare data, consider PHI selections in reports, masked notifications and the destination's Google permissions. A staff role name alone does not establish that every exported file has the same restrictions.

Hand work over clearly

Tell the colleague which form and stage they should use, what action is expected and where the record will appear. Use response status and signature activity to distinguish staff processing from actual signing completion. If a colleague cannot open the intended source or assigned link, check the account and role before creating duplicate forms or requests.
