Find signed PDFs and certificates

Find completed signed PDFs, understand certificate availability, and distinguish a finished workflow from an invited or partial request.

A signed PDF brings a response and its recorded signatures into a file you can download, send, or save with the rest of your records. Start with the response you need, then check whether its signing process has finished before treating the file as a completed copy.

Find the right response

Open the form from your dashboard and go to its response or signed-document view. Signature documents can appear under Signed; forms that generate response documents without signatures can use Documents. Match the respondent, request details, and submission date before opening a file.

Open the matching record and check its completion state before downloading.
  1. Open the response or document card.
  2. Review its signer status. Request sent means an invitation exists; Signed records a signature. A skipped optional signer can appear as Signature not required.
  3. Open the available PDF and download the file you need.
  4. Review the document itself: answers, signatures, dates, and any included certificate information should match the request.

Know when the final copy is ready

In a sequential signing workflow, the first person's submission can start the next person's task. It does not necessarily produce the final signed PDF. Current workflow generation waits for all required signatures; an optional step skipped for this response does not need to be signed.

The response's board status and its signature completion are related but distinct. Owners can configure automatic movement when signing finishes. A custom status such as Reviewed or Filed can also represent a separate staff task.

Signed document and certificate

Depending on the form and document generation mode, certificate information can be appended to the signed document or offered as a separate Certificate.pdf. Download the files offered by the actual record rather than expecting the same package on every form. An unsigned response PDF is another output and should not be described as a signed agreement.

For a record you must preserve, keep the downloaded original intact. Printing to PDF, editing pages, or combining files can change the file contents and affect verification.

If the file is missing

Check required signers and the current workflow step first. Then inspect generation and destination settings. A completed response can be visible before an external Drive sync is available. Follow missing records and sync when completion is confirmed but the expected file is absent.

To finish your setup, configure Google Drive saving and emailed copies for the people who need the completed record.
