Email the completed copy

Send signed copies to configured respondents and team members, with the right completion timing, attachments, and privacy checks.

A completed copy is useful when the signer and the responsible team can find it later. Formesign can attach generated records to configured notifications. Set up the recipient and attachment behavior explicitly, then check delivery with a test request.

Configure who receives a copy

Open the form's email notification settings. Choose the respondent email field for the signer copy and the intended collaborator or team recipients for internal notifications. Verify that the mapped field actually contains an email address in the submitted response.

Choose the recipient and completed-record content for each notification.
  1. Select the notification you want to configure.
  2. Check its recipient source: a response field and a fixed team address serve different purposes.
  3. Write a subject that identifies the request without exposing sensitive answers.
  4. Review the message and available response or PDF attachment options.
  5. Save the configuration and run a test using a mailbox you control.

Do not add a person's address to a general notification simply because they are a later workflow signer. A signing invitation and a completed-copy notification have different timing and content.

Check the completion point

A workflow can notify the next signer before the complete document is ready. In current sequential workflow generation, the final signed PDF depends on all required signatures being completed. Check the response's signature activity before troubleshooting an absent completed attachment.

Depending on the form's generation mode, certificate information can be included in the document or provided separately. Attachments also depend on the particular notification's settings; enabling a signature field does not automatically choose all recipients and file types.

Keep the message useful

For a routine staff request, a useful subject is “Your equipment request is complete.” The body can identify the request, explain that its copy is attached or available through the provided link, and tell the recipient whom to contact about corrections. Avoid including an entire sensitive response just to make an email recognizable.

For patient information, review PHI controls. A masked message can still contain a revealing subject, a manually typed answer, or an attachment with sensitive content. Check each part of the actual delivered message.

Confirm delivery

Check the intended mailbox, spam folder, recipient spelling, and the response's recorded email. Keep the test document and compare its answers and signatures with the response. If the invitation or copy does not arrive, use email and link troubleshooting. If the file itself is absent, start with signed PDFs.
