Quick Answer

How do I collect multiple signatures in order?

In the EDIT tab, find the Signature workflow card and click Add signer, or click the pencil. Under To be signed by, type each role, such as Manager. Use the three-dot menu to choose Move up or Move down. When someone signs, Formesign asks for the next signer's email and sends them a Review & sign request.

A signing order makes sure that a manager only sees a request after the employee has signed it, and finance only after the manager has. Each person gets an email when it's their turn.

How the handoff works

We'll use an Equipment Request: an employee fills it in and signs, then finance signs.

  1. The employee opens the form, fills it in, signs, and clicks SUBMIT.
  2. Formesign asks for the next signer's email.
  3. Finance gets an email with a Review & sign button.
  4. Finance sees the employee's answers as read-only, adds their own details, and signs.
  5. When the last signer submits, the document is Signed and completed.

Add and order signers

Find the signature workflow

In the EDIT tab, scroll below the signature blocks to the Signature workflow card. Click Add signer, or click the pencil to open Setup workflow.

1 Each signer has a colored block. 2 The card lists the order, and 3 the pencil edits it.

Add each role

Under To be signed by, type a role in Add new signer, such as Finance. Use roles rather than people's names, because the person can change from one request to the next. Formesign creates the fields for that signer.

1 The signers in order, 2 add another by typing a role, then 3 Next.

Change the order

Click the three dots beside a signer and choose Move up or Move down. Delete removes the signer.

Each signer's menu: 1 reorder, 2 make optional, 3 set a reminder, or 4 delete.

Finish and test

Click Next. When you see Your signing link is ready, click Preview signing experience and try the whole sequence.

Roles aren't email addresses

Typing Finance tells Formesign there's a finance step, not who it goes to. The email address comes from one of the two routes below.

How signers get their email

RouteHow it worksUse it when
The previous signer enters itAfter signing, they see Enter the approver's emailThe respondent knows who approves their request
You enter them all up frontUse the Email tab under SHARE, which asks for one email per signerYou're starting a request for specific people
After signing, the signer 1 enters the next person's email and 2 clicks Proceed.

Some setups, such as Sheet signature, also ask you to choose under Request signature via: Link gives you a link your team can use, and Email sends directly to signers.

Signing together, or one after another

Not every signature needs a separate email. If a parent and a witness are in the same room, it can be simpler for both to sign in one sitting.

Change the order on a live form

The new order applies to future requests. For a request that's already moving, use Track Requests to see where it is before changing anything.
