Quick Answer
How do I send signature reminders?
In the signer list, click the three dots beside a signer and turn on Set reminder. Choose the delay under Remind if not signed after. It starts at 8 hours. An orange badge shows the reminder is on. The same menu has Make it optional, which skips a signer when no email is provided for them.
Both settings live in the menu beside each signer. Open it from the signer list: click the pencil on the Signature workflow card, then the three dots beside the signer.
Remind a signer
Turn on the reminder
In the signer's menu, switch on Set reminder.
Choose the delay
Under Remind if not signed after, use − and + to set the hours. It starts at 8 hrs.
Check the badge
An orange badge such as 8h now shows beside the signer.
When the clock starts depends on the signer's position:
| Signer | The delay counts from |
|---|---|
| The first signer | When the workflow starts |
| A later signer | When the previous signer signs |
So a 48-hour reminder for a third signer means 48 hours after the second person signed.
Reminders go to one signer
A reminder only goes to the person whose turn it is. It stops once they sign. To chase someone right now, use Resend request.
Make a signer optional
Choose Make it optional in the signer's menu. A purple Optional badge appears, and the workflow card shows (Optional) after their role. Choose Make it required to undo it.
An optional signer follows one precise rule:
| For this response | What happens |
|---|---|
| No email is provided for them | They're skipped. The request can complete without them, and they get no reminders |
| An email is provided | They act like any required signer, and the request waits for them |
Optional doesn't mean they can ignore it
Once a signer has an email, the request waits for their signature. Use optional for a step that only applies sometimes, such as a second reviewer on larger requests.
An ordinary required signer with no email can't be skipped, so make sure someone provides it. In the record, a skipped signer shows as Signature not required.
Test both paths
Before going live, run two practice requests:
- One with an email for the optional signer. It should wait for them.
- One without. It should finish without them.
